We Are Hiring! 

We are currently looking for a highly motivated, reliable and charming personality to join our team as Receptionist / Office Assistant. Being in charge of the front desk of the German Trade Office, you are the first point of contact to our visitors and clients. 

 

About Us

We are the official delegation of the German Industry and Commerce in Taiwan and a member of the global network of the German Chambers of Commerce Abroad (AHKs) at 150 locations in 93 countries around the world. Our team actively promotes economic relations between Taiwan and Germany and represents the interest of German economic interests in Taiwan. 

 

Your Responsibilities and Duties:

  • Office administration including but not limited to management of supplies, inventory (including record keeping), suppliers and vendors, mailings (incoming and outgoing) and filing 
  • Signing for deliveries and ensuring that all mail and packages are distributed accordingly 
  • Contact management including but not limited to being in charge of the general line, call forwarding, management of phone lines, database entries and management (CRM) 
  • Greeting visitors and clients 
  • Overseeing info@ email address and channelling incoming enquiries, complaints and general correspondence in time to the appropriate staff 
  • Monitoring and maintaining office equipment (for example: printer, scanner, coffee machine, furniture etc.) 
  • Organising the reception area including displays and books while complying with office procedures 
  • Travel and general calendar management including meeting room availability 
  • Support of business delegations and event organisation 
  • Translation of English (and German) information into Chinese and vice versa 

 

Your Qualifications:

  • Mandarin native speaker 
  • Very good command of English  
  • Strong communication and organisational skills 
  • High level of professionalism and courtesy 
  • Excellent time-management and teamworking skills 
  • Ability to multitask and strong attention to details  
  • University degree, preferably in Business Administration, European Studies, Finance, German or Politics 
  • Clerical / administrative experience is a plus 
  • High proficiency of Microsoft Office 

 

We consider following points a plus:

  • Overseas experience or experience working in an international company 
  • Working experience as office assistant or receptionist 
  • Advanced German language skills 
  • Knowledge of CRM and database systems 
  • Interest in continuous improvements, process optimization

You will be Responsible for

 

  • Different accounting systems, including those of our German parent organisation
  • Supporting in all matters related to local accounting and bookkeeping
  • Regular reporting to management on all finance related matters
  • Financial planning and forecasting (ad-hoc, monthly, quarterly, yearly etc.)
  • Driving process improvement and digitalisation of internal financial processes
  • Recommending measures including software solutions to achieve automation
  • Driving best practice sharing and standards setting for controlling topics

 

You have the following Background:

 

  • University degree in Finance, Accounting (CPA experience appreciated) or similar
  • Excellent Chinese and English language skills
  • Passionate about a paperless office and lean processes in line with local regulations
  • Communicative team player with a strong customer service orientation
  • High self-motivation with the willingness to identify and solve new tasks
  • Knowledge of IT tools like MS-Office (experience with accounting systems is a plus)

Our Recruitment Process

 

We like to know whom we are working with and so do you of course. After the initial application process, we will conduct two rounds of interviews – 1st on working level and 2nd on management level followed by half a trial working day with some practical tasks. Only shortlisted candidates will be notified by us.
